Ready to take on a varied and rewarding role? We’re looking for an Administrative Assistant to provide essential operational support and help maintain a productive biotech environment.

R&D Partners is seeking a dedicated and organized Administrative Assistant to provide essential administrative and operational support to ensure smooth office operations and enhance productivity. You will be the first point of contact for visitors and play a key role in maintaining a professional and welcoming environment.

Responsibilities:

  • Help managers stay organized by managing calls, emails, and vendor/client interactions.
  • Schedule appointments, manage calendars, and coordinate meetings for multiple individuals.
  • Arrange travel plans, including itineraries, visas, and logistics for domestic and international trips.
  • Organize internal and external meetings, including reserving spaces, arranging catering, and setting up facilities.
  • Prepare and organize documents for proposals, presentations, and contracts.
  • Handle administrative tasks such as expense reports and document archiving.
  • Troubleshoot and resolve issues with internal and external stakeholders.
  • Greet visitors, answer phones, and manage deliveries at the front desk.
  • Set up and maintain conference rooms and meeting spaces.
  • Manage office supplies, kitchen inventory, and meeting room equipment.
  • Distribute mail and packages and assist with copying or special projects.
  • Log visitor and building maintenance requests and assist with office events.

Key Skills and Requirements:

  • Completion of high school education required; additional education or a degree is preferred.
  • Experience in administrative or executive assistant roles, ideally in a professional setting.
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook); familiarity with SAP is a plus.
  • Strong communication skills, both written and verbal.
  • Professional demeanor with good judgment and attention to detail.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Comfortable using technology and basic IT tools.
  • Reliable, proactive, and able to manage multiple tasks effectively.
